District Employee Clearance Process

The following steps are mandatory for all full-time personnel (including Campus, Operations, Ancillary, Paraprofessional, Technology, and Central Office staff) leaving the district.

Step 1: Notification & Approval

The process begins when you submit your official resignation or retirement letter.

  • Submission: Your Campus or Department will forward your official letter to the Human Capital Management Office.

  • Approval: HR Directors will review the letter for approval.

  • Acknowledgment: Once approved, you will receive an Acknowledgment/Release Letter from the Human Capital Office. This letter confirms your separation and provides specific details on the exit process you must follow.

Step 2: Return District Property

Prior to your last day of work, you must return all items assigned to you. You are financially responsible for any damaged or missing property. Items to return include, but are not limited to:

  • Campus/Department materials

  • Name badges

  • Keys and/or access cards

  • Electronic equipment (Laptops, tablets, etc.)

Step 3: The Clearance Form

A District Clearance Form is required to finalize your departure.

  1. Responsibility: Both the employee and the supervisor are responsible for ensuring this form is completed.

  2. Sign-off: The form must be signed by your supervisor.

  3. Building Access Card & Facilities Clearance: Submit the signed District Clearance Form to the Facilities Department at Central Office when turning in your building access card. The Facilities Department will sign off on the form. This step must be completed prior to your final exit interview with HR.

  4. Lost Access Card: If your access card is lost, you must first go to the Finance Office to pay the replacement fee and submit the receipt to the Facilities Department.

  5. Submission: Forward the signed district clearance form to the Human Capital Management Office.

⚠️ Special Departmental Clearances: Certain positions require additional sign-offs beyond their immediate supervisor. Please ensure you acquire clearance from the following departments if applicable:

·         Teachers & Librarians: Must clear with Innovative Learning.

·         Counselors: Must clear with School Counseling.

·         Nurses: Must clear with Student Health Services.

Step 4: Final Exit Process

Once Human Resources has received all required clearances (including the signed Clearance Form and any special departmental sign-offs):

  • Call to schedule the exit appointment with HR.

  • HR will generate an official Exit Form and clear the employee officially in-person.
